Surviving AEP means starting with the right frame of mind. We cover agency improvements and important reminders. See this internal office meeting video below: See the video: MEETING NOTES: Hannah \tAdmin Updates Reminder \tThe noise level in the office (non-work-related related activities) \tConversations over cubes, Scaring each other, Yelling across the office, etc \tClients can hear all of this in the background. Have to stop. \tScaring each other could also lead to injury if someone reacts before realizing what’s happening and it’s our responsibility to keep a safe work environment before everything else. \tWeekend Sign up sheet \tRadius \tNew Lead Tags \tAgent Assignment - critical for lead follow up \tDraft dates: Humana is upon Effective date on the 7th & Anthem is upon Approval on the 5th \tApps save in Dropbox AND Radius \tCouples: all info should not be under one person \tConfirm all info going onto apps. Do not assume the information on the last app was correct. \tPDP/DVH/Cancer notes will be more important now than ever if you want admin to be able to direct calls efficiently. \tScheduling \tHave to make sure we aren’t scheduling people we can’t help. Pretty soon the calendar will be FULL every day. If we schedule people we are unable to help, we take that spot away from someone who needs us. \tUnqualified \tToo early (don’t forget to check state-specific OE periods) \tTime waster \tService issues \tAEP PDP & MAPD appts \tHave to stress the importance of completing the SOA and drug/provider list ahead of time. We will not be able to easily reschedule if they are not prepared. \tWhen you edit an event on the Google calendar it DOES NOT change the calendly availability. \tEx. Changing a couples drug plan appt from 30 min to 1 hr. Must be done in calendly or on their specific google calendar which you don’t have access to. \tPTO - Part of having PTO is managing it and using it wisely. \tThis time is meant for both unexpected occurrences like sickness AND planned personal time like vacations. \tPlanning out ALL of your PTO for vacation with no cushion for the inevitable unexpected issue is not responsibly managing your PTO. Unpaid time off should not be your backup plan. As full-time employees, we need to be able to count on you to be here full time. \tAEP is here (basically). \tMeetings will get shorter (not less important- just faster) \tAttention to detail and multitasking will be your two most important skills. \tHave patience with each other. \tAsk for help when you need it. Chris \t \tWhen someone is coming off of a large group or considering doing so, we MUST tell them of the possible drug plan implications. This can be huge and is worth reminding about, often. \tSelling Cancer insurance - WE MUST disclose that there is an initial waiting period. \tTypically, when someone cancels a health insurance plan of any type, there is a 60-day period where they can recover that plan. Just keep in the back of your mind, if needed. \tQ1Medicare.com is a good resource for looking at plans we may not have, that are available in a particular area - MAPD and Part D. \tHow to handle death claims when a beneficiary calls in: \tSorry for your loss. \t \tThe claim must be started with the insurance company and we will help when needed. They will, in the first two years, ask for a statement from the agent. \tIf it is within 2 years, the insurance company will investigate in order to see if the health questions were answered accurately. If they were not, they will refund all premiums paid. If everything is straight, they will pay the claim. After two years, there is no period in which this can happen, except for fraud. They will usually pay the claim immediately (after 2 years.) \tFor AEP - 1 in 3 households is on NextDoor. 275,000 Neighborhoods! Ask your super-happy clients to post something on the NextDoor app about what a great Medicare insurance agency they found! “If you need help, too, visit them at www..” \tReminder: StartPartD.com will be available for 2022 drug plans on October 15th. \tIntellius.com is better than Spokeo - will give an exact date of birth. Login on the Carrier Login sheet.
