Client Communication Improvements (04-01-24 Meeting)

Major industry news is coming, and we are discussing improvements in our client communication and tracking processes. Notes are under the video: NOTES: If there is text after phone numbers in the cell phone field (ex. so and so's # or preferred #) - texts will not be delivered to those phone numbers Both physical and mailing addresses should be verified for new and existing clients (if what was in the mailing address is no longer valid - please delete it) Gather the information you need with a lead/client while on the phone. Getting the info right then and there is easier than emailing or texting them and hoping they do it. a. Saves everyone from having to do more work than necessary. Especially when we need SOA within a specific time frame and avoid rescheduling those appointments. Allstate clients can now print their ID cards: “Your customers should navigate to https://myallstatehealthsolutions.com.” Sales After an appointment, when rates are sent by email, please include this video link. It encourages them not to go directly to the carrier or take our recommendation to someone else. There have also been folders saved as "New folder" instead of “Client and Client” with docs saved). Please put renewal dates in the product tab when doing your agent radius updates. -JD should not be responsible for determining the renewal date if bday rule/anni rule state or any of the others. Bday/Ann should be correct. MAPD should have 01/01 of the next year listed (Ex. eff date 05/01/2024, renewal date 01/01/2025). DVH put the renewal date for the following year (ex. Eff date is 05/01/2024, renewal date would be 05/01/2025). Plans in WI & MN (any state where it is a buildable plan) should be labeled as State Specific instead of Plan G or Plan N Agents- when you manually book an appointment on the calendar, put the * so the admin does not need to figure out what is happening. Also, ensure you have what you need for the appointment you booked. Always send your booking link when reaching out to your prospects/leads vs just telling them to write or call back with proposed meeting times.
